Associated Computer Solutions (Pty) Ltd (“ACS”, “Embrace”, “we”, “us”, “our”), trading as Embrace ERP, is committed to protecting personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and applicable South African law.
This policy explains what information we collect, how we use it, and your rights regarding that information.
Scope
This policy covers three distinct contexts in which ACS processes information:

- Cloud-hosted Embrace ERP deployments

Website (embrace.co.za)
What we collect
When you interact with our website we may collect:
- Contact details you submit through enquiry forms — name, email address, phone number, company name, and job title.
- Technical and usage information collected automatically — IP address, browser type, pages visited, referring source, and session activity.
How we use it
- To respond to your enquiry or provide requested information, demos, or resources.
- To send relevant communications about Embrace ERP and related services.
- To monitor website performance, security, and the effectiveness of our marketing activities.
Third-party tools
Our website uses third-party tools for analytics and performance monitoring, marketing and advertising, and lead management. These tools may collect technical data such as IP addresses and browsing behaviour. We do not sell personal information. Third-party service providers are bound by appropriate confidentiality and data protection obligations.
Mobile and Desktop Applications
The Embrace ERP mobile and desktop applications do not collect personal information.
We collect anonymous, aggregated usage telemetry — such as feature usage patterns, error rates, and performance metrics — for the sole purpose of improving the product. This data:
- Cannot be linked to any individual user.
- Does not include names, email addresses, contact details, location data, or any other personally identifiable information.
- Is collected using our own internal telemetry system. No third-party analytics SDKs are embedded in our applications.
Cloud-Hosted Clients
If your organisation uses Embrace ERP in a cloud-hosted environment managed by ACS, your business data — which may include employee records, customer information, and transactional data — is stored on servers operated by ACS.
In this context:
- ACS acts as the operator (data processor) on your organisation’s behalf.
- Your organisation remains the responsible party (data controller) under POPIA.
- Data is processed only for the purposes of delivering and supporting the Embrace ERP service.

Cookies
Our website uses cookies and similar technologies to support analytics, performance monitoring, and marketing. You can manage cookie preferences through your browser settings. Disabling cookies may affect certain website functionality.
Data Sharing
We do not sell personal information. We may share information with:
- Service providers who support our operations, subject to confidentiality and data protection obligations.
- Law enforcement or regulatory authorities where required by law, court order, or to protect legal rights and safety.
Retention
- Website contact and lead data — retained for as long as necessary for business, legal, and contractual purposes.
- Application telemetry — retained in anonymised, aggregated form with no fixed expiry.
- Cloud-hosted client data — retained in accordance with your service agreement with ACS.
Security
We apply reasonable technical and organisational safeguards to protect personal information against unauthorised access, misuse, alteration, or loss.
Your Rights Under POPIA
Under the Protection of Personal Information Act 4 of 2013, you have the right to:
